Job Description:

Our client, a boutique investment house in Edinburgh, is looking for a Personal Assistant to provide a professional and comprehensive range of administrative and secretarial support to the Chairman. The successful candidate will have previous PA/EA experience and will be accustomed to dealing with those at Board/Executive level.

This is an office-based position in central Edinburgh.

Essential Skills/Experience:

  • Previous experience of working as a Personal Assistant or Executive Assistant in a small- or medium-sized company (preferably, within the financial services sector or similar professional environment) (essential).
  • Knowledge and experience of dealing with shareholders, liaising with Companies House, preparing tax forms, and accounts (highly desirable).
  • University degree or equivalent work experience.
  • Self-starter with the ability to take initiative.
  • Effective communication skills both face-to-face and over the telephone.
  • Strong time management skills with the ability to meet deadlines and prioritise effectively.
  • Excellent attention to detail.
  • Highly motivated and enthusiastic about providing an excellent service and support.
  • Strong team player with confidence working independently and using own initiative.
  • Discretion and confidentiality are paramount.
  • Excellent Microsoft Office skills.

Core Responsibilities:

  • Effective diary management, co-ordinate work schedules, prepare meetings and manage agendas, compile reports, issue papers within agreed timescales, manage venues.
  • Arrange company, shareholder, and client meetings.
  • Support the team with day-to-day financial administration
  • Process and categorise necessary documentation after every meeting.
  • Effective email system management, ensure emails are responded to appropriately and in a timely manner.
  • Management of all aspects of travel.
  • Effectively field internal and external telephone calls.
  • Creation and preparation of PowerPoint presentations and Excel spreadsheets as required.
  • Maintain an efficient filing system, both paper and electronic.
  • Maintain good working relationships externally and internally dealing with any queries or issues effectively.
  • Keep written procedures for all tasks performed up to date and coherent.
  • Carry out any other ad-hoc tasks special projects / assignments as required.
