Job Description:
A key client of Core Asset's is in the market for an individual to join their team as an Operations Oversight Analyst.
The purpose of the role is to perform processes and controls within the scope of the Operations team. The Operations Team provides oversight of functions currently outsourced to its critical third party outsource provider(s). The team is also responsible for executing a number of internal functions including corporate action management, proxy voting administration, regulatory reporting, cash monitoring, custody market management and key activities related to retail & segregated mandate clients. The role will be key in delivering teams processes and controls which will evolve to reflect the firms operating model and it's selected outsourced providers.
Essential Skills/Experience:
- Demonstrable technical knowledge across a range of investment instruments, fund types and products - experience of closed end funds and/or Lux funds beneficial
- Proven organisational skills, can demonstrate ability to meet deadlines and undertake and manage multiple tasks
- Team player who can build good relationships with colleagues internally and with external contacts
- Strong attention to detail and ability to deliver work to a high standard of accuracy
- Knowledge and understanding of the relevant regulatory environment
- Excellent written and verbal communication
- Ability to demonstrate a risk focus and understand the importance of identifying potential risks and of reporting risks to management and other relevant parties
- Ability to identify problems and incidents, work actively with others to resolve them and raise issues appropriately
- Experience in producing MI and regular reporting

Core Responsibilities:
- Supporting the trade life cycle across equities, bonds, foreign exchange and derivatives
- NAV oversight related tasks
- Daily monitoring of cash and stock/cash reconciliation breaks
- Corporate actions management
- Daily fund flow reporting
- Retail & Segregated mandate flow management and reporting
- Custody market management - opening and document maintenance
- Invoice review and validation controls
- CASS Oversight related tasks
- Complaint handling - ensuring regulatory requirements are met in the management of client complaints
- Preparation of regulatory returns related to activities completed by or overseen by the Operations team
- Oversight of retail client AML & KYC documentation and processing
- Other Operations related activity
- Completion of other oversight checks on outsourced activities to ensure service delivery is maintained to agreed standards
- Investigate and resolve day to day operational queries, issues and incidents across a range of services provided by third party providers
- Ongoing oversight of third-party administrator; including monitoring and recording of the timeliness and quality of deliverables
- Provision of monthly reporting and other regular deliverables, ensuring sign off within specified timelines and performing controls to ensure outputs are complete and accurate
- Management of issues and incidents, including root cause analysis, risk event reporting and determining/assessing remedial actions
- Prepare and maintain procedures, processes and controls documents, ensuring all department procedures and checklists remain up to date
- Identify operational improvement opportunities and proactively propose solutions including new processes and controls with supporting rationale and evidence for the basis of change
- Provide management information to senior management on regular basis as required
- Proactively build and maintain relationships with Service Providers, liaising closely with them to ensure the service is delivered and that any queries/problems/issues are dealt with in accordance with agreed standards and in a timely, accurate and complete manner
- Involvement in project and change activity including fund change, client take on and transition activity
- Maintain awareness of industry best practice and identify areas that are non-standard or where process improvement is possible, documenting processes and proposing solutions
- Ensure that knowledge and training of Operational activities is shared on a regular basis. Proactively upskill in areas where required and ensuring that knowledge and training is shared with the broader team on any areas where SME knowledge exists. This should be maintained and evidenced through cross training trackers
- Daily support to the wider Operations teams and other departments across the business in the resolution of issues, requests for information, process improvements and change.
