Job Description:

As an Associate you will play a central role in the business. This is a varied role providing support to our permanent recruitment team and helping to support a number of operational and project tasks to help the wider business

Essential Skills/Experience:

  • Previous administration support experience with proficiency in Word, Excel and Powerpoint. Exposure to Pivot tables would be beneficial

Core Responsibilities:

  1. Recruitment administration Tasks include but not limited;

  • General administration support. Preparation of CVs, job descriptions and correspondence for clients and candidates. This will include uploading applications to a range of client portals and tracking on the CRM system. You will ensure high standard is achieved across the team within the relevant turnaround times.
  • Minimum standards. You will be a champion of the company's recruitment CRM system Bullhorn. This will be ensuring all regulatory and important updates are logged and tracked, providing feedback and training on new functionality. This will include registration applications, Digital Right to Work checks and Diversity, Equity & Inclusion insight.
  • Effective job advertising. You will be responsible for publishing and ongoing management of vacancies across our main advertising channels, including social media. This will include supporting recruitment consultants to ensure vacancies are updated, maintained and re-advertised as required.
  • Client Services - You will be responsible for answering incoming calls, providing a high standard of service to any queries, fielding sales calls and ensuring effective messages are processed for the business. Where appropriate, you will be responsible for meeting and greeting visitors and meeting set ups.

  1. Operations/Building Maintenance
  • Building Operations - You will be responsible for a regular walk-around the building, ensuring that building facilities, stationery and equipment are up to standard and in working order (plants, washrooms, kitchens, meeting rooms, general building conditions). Facilitating the weekly fire alarm test, submitting gas and electricity meter readings, arrange recycling waste collection, act as Fire Warden. You will also be supporting the Senior Associate in Operations and Project Associate to work on the Office Management Planner, ensuring office maintenance and H&S checks and are recorded.
  • Supplier Relationship Management - You will work with the Senior Associate in Operations and Projects to manage relationships with some third-party providers, help to collect quotes and present recommendations to Finance team. This can include, but not limited to, office expenses, premises expenses and repairs and maintenance costs. You will build external relationships with maintenance, IT, telephony and operational providers ensuring updates are performed and upgrades are arranged as required.
  • IT Infrastructure & Systems - You will be the first point of contact for any IT or system issues, working with colleagues and where required, third parties to find an effective solution.

  1. Project Support:

  • You will be working with the Senior Associate in Operations and Projects, engaging with the Executive management team, finance and other members of the operations team. You will be responsible for providing support through effective reporting, administration and updates on a number of initiatives; the list below is not exhaustive:
  • Technology rollout
  • CRM automation and process improvement
  • Management Information reporting including DE&I analysis
  • Regulatory change

  1. Marketing Support

  • You will be working with the Senior Associate in Operations and Projects, involved in supporting marketing and brand awareness for the business. Coordinating marketing content including social media releases, Return On Investment analysis, working with external parties and suppliers on marketing plans and timelines.
