Job Description:
Our client, a boutique investment manager is looking for someone to join their private client team as an administrator. This person will have experience supporting financial planners. This is an essential member of the administrative support team within the company.
The successful candidate will liaise and communicate successfully with other key stakeholders where appropriate, ensure own personal development meeting the standards established for the role, support the team in reaching new business, performance, and budgetary targets all whilst supporting the allocated Adviser/Consultants with client liaison and contact with providers.
Essential Skills/Experience:
- Good knowledge of financial planning, such as products, processes and client needs.
- Ability to quickly learn and follow processes and procedures within Private Clients.
- Well informed about the products and services offered by the company.
- Strong time management skills with an ability to work within the constraints of specific deadlines.
- Excellent communication skills, consultative approach and able to influence others to support objectives.
- Confident and able to work alongside strong personalities within the business and target markets.
- Adherence to Code of Conduct.
- A sound understanding of the regulatory requirements around financial planning and Private Client management.
- Good communicator, able to speak with multiple stakeholders (for example clients, advisers, management, compliance)
- Numerate and educated to A Level standard.
- Software knowledge - Advanced Microsoft Word/Excel/Outlook, CRM database experience (Intelliflo, or similar), Exchange/ExWeb quotation packages, Defaqto research tool (or similar)
Desirable Skills/Experience:
- Industry experience in wealth management preferred but more important is a "can-do" attitude and willingness to learn.
Core Responsibilities:
- Participate and actively engage in the performance management process to attain and maintain competence within your role.
- Ensure that administrative support is provided to the highest level, in a timely fashion, with minimum administrative issues.
- Ensure that all company policy and procedures are implemented successfully, where appropriate identify further enhancements to the procedures.
- Support the Adviser/Consultants, by ensuring that their work is carried out efficiently and accurately, so that they can concentrate on securing new clients and business.
- Meeting preparation including diary management, preparation of valuations, compliance documents and application packs.
- Database administration and record keeping including scanning of documents for filing.
- Assist the Adviser/Consultant with detailed research (quotes, product selection and existing product review) in preparation of recommendations/review reports.
- Maintain client records including up to date valuations and client servicing requirements.
- Process new business including submission, follow up of medicals if required, income management and sending policy documents out to the clients.
- Manage and maintain the Adviser/Consultants "aged debt", which will include following up with clients and providers, and issuing Invoices.
- Liaise with clients, insurance companies and external investment managers.
- Contribute to an effective and positive risk management culture at the firm
