Job Description:

We are working on an excellent opportunity for a Board Administrator join a professional association based in Edinburgh or Oxford on a permanent basis. In this role, you will be a key point of connection and communication between the Board members, other volunteers and other key stakeholders and service providers.

Skills/Experience:

  • Excellent administrative skills
  • Good relationship management skills
  • Experience working with senior Boards and Committees
  • Excellent communication skills, with experience of adapting style to suit different audiences and formats
  • Eye for detail, with ability to review and edit documents for clarity, consistency and quality
  • Proven ability to proactively manage competing priorities and prioritise work accordingly
  • Proven success in a flexible working environment, with ability to succeed as part of a virtual team
  • Ability to work independently and be a self-starter
  • Corporate secretary experience (desirable)
  • Membership body experience (desirable)

Core Responsibilities:

  • Organisation of meetings; collation of documents; preparation of agenda and papers; issuing packs prior to meetings; attendance at meetings; taking minutes; and following up on actions arising for the Boards and its committees.
  • Maintenance of a register of credential holders and their contact details, and expeditious handling of lists of candidates for the designation.
  • Maintenance of key governance documentation and process notes.
  • Diary management, including managing the calendar for the Board and other committees.
  • Building excellent working relationship with the Chair of the Board and wider leadership team.
  • Oversee administration of payments to and from the association, including budget management and supporting internal/external audit processes. Liaise with the Finance Committee, external auditors and Finance team as required to ensure all financial controls and records are produced as necessary.
  • Liaison and key point of contact for signatory associations
  • Play a key role in identifying and delivering opportunities to improve the efficiency and effectiveness of governance and general administration
  • Provide strategic and tactical marketing support, e.g. prepare and distribute marketing material, manage main platforms, i.e. website and social media, ensuring adherence to brand guidelines.
  • Liaise with the Board and Strategy and Outreach Committee to ensure marketing meets the agreed Strategy.
  • Oversee the maintenance and development of a secure website containing a database of holders and other relevant information as required, liaising with external web developers and managing the relationship.
  • Reporting to Board, as required, on administration, promotion and growth of the credential and supporting Board committees on strategic and outreach initiatives.
  • Support the events committee with development and delivery of the programme of in-house events and conferences and organisation of external events.
