Job Description:
Our client, a specialist wealth management firm, is seeking an experienced Client Team Administrator to join their Edinburgh-based advice team.
This is a senior opportunity for an experienced wealth management professional with a strong background in adviser support and client administration. The successful candidate will play a central role within the advice function, providing high-level support to a team of Advisers and helping to ensure the effective onboarding and ongoing servicing of clients.
You will take ownership of key administrative processes, help coordinate the client journey and act as an important point of contact across the wider business. The role would suit someone who is confident operating in a senior support capacity, is highly organised and enjoys taking ownership and improving the way a team operates.
Essential Skills/Experience:
- Significant experience within wealth management client services or adviser support, ideally at a senior level.
- Previous experience supporting multiple Advisers or working within a team-based advice environment.
- Strong understanding of wealth management administration and client servicing.
- Experience with client onboarding and account opening processes.
- Experience using Xplan is desireable.
- Exceptional organisational skills, with the ability to manage competing priorities and deadlines.
- Excellent attention to detail and accuracy.
- Strong problem-solving skills and the confidence to take ownership of issues.
- Proactive approach, with the ability to anticipate the needs of Advisers and clients.
- Excellent communication and interpersonal skills.
- Strong understanding of Microsoft Office Suite.
- Experience working with custodians, clients and third-party professional partners.
- Experience supporting process improvement and operational efficiency initiatives.
Core Responsibilities:
- Provide senior-level administrative support to a team of Client Advisers.
- Maintain accurate CRM records and internal systems.
- Oversee and support the onboarding of new clients and account opening processes.
- Manage the ongoing administration and servicing of existing client relationships.
- Work closely with Advisers and Adviser Assistants to coordinate paperwork and documentation for custodians, clients and third-party professional partners.
- Act as a key link between the advice and operational teams to ensure a smooth and efficient client journey.
- Help ensure consistently high standards of client service across the Adviser team.
- Identify opportunities to improve processes, systems and operational efficiency.
- Support regulatory compliance, customer fairness initiatives and internal quality standards.
- Take a proactive approach to identifying issues, resolving problems and supporting Advisers in the effective management of their client relationships.
